Terms of Service

Scope of Service

Under the direction of the client, we will carry out the survey in line with the agreed ‘Scope of Survey’ detailed in the contract of service document. The survey will be limited to only those items specified, with recommendations for further surveys or expect analysis, where required.

Where thought necessary and agreed by parties, external analytics may be used. No additional third party costs will be incurred without prior agreement and approval from the client.

The surveyor will make every reasonable effort to access all areas and systems within survey instructions agreed; however, those areas deemed as inaccessible, due to physical limitations, will be clearly detailed within the final survey report.

Programme/Schedule

Whenever possible, we work hard to accommodate the programme requirements of the clients and will do all we can to work within their scheduling requests. Where this is not possible and alterations are required we always liaise clearly and quickly to agree a schedule of mutual acceptance.   

Any and all actions required to satisfy the scope objectives will be completed in timely fashion. The programme for the site visit to which the proposal refers, will be agreed between parties in the contract of service document. All dates agreed will be considered provisional and subject to confirmations by the service provider. 

Confirmation of planned attendance will be given to the client, via email or phone, 24hrs prior to attendance.

Re-attendance or revised attendance will be agreed with the client, if required. The surveyor will never attend unannounced or without the agreed level of supervision.

Confirmation of attendance will be given to the client, via email or phone, on the same day of completion of the site visit.

For hull condition surveys, sufficient drying time and favourable weather conditions are required to allow for an accurate survey to be conducted. This may require the re-scheduling of any proposed survey date or re-attendance for survey full completion.

Deliverables

A brief outline summary of the attendance and any significant issues, believed pertinent, will be given with the confirmation of attendance.

We intend to issue our full and complete report within twelve [12] business days of completion of the final site visit or the receipt of external laboratory or expert results. A draft report and/or key details may be issued when awaiting external laboratory or expert reports.

Reports and supporting documents will contain sufficient details, data, plans and pictures to accurately reflect the surveyed subject matter, within the agreed survey scope. Further information and pictures may be available upon request.

Any items, within the agree survey scope of particular interest, requiring enhanced scrutiny, documenting or photographing by the client, should be clearly outlined and agreed prior to survey. We will always make every effort to work to the clients specific needs and deliver a service tailored to their requirements.  

The reporting language will be English. Reports may be translated to selected languages for an additional fee.

Our Requirements

Access to all areas, information, records, histories and relevant personnel in connection with the survey subject and scope of objectives.

The surveyor must be met on site by the client, or appointed representative and escorted to the survey location. In the case that a representative is appointed, contact details must be provided. In the case that the surveyor cannot identify or locate the assigned escort, within a reasonable time period, the site survey may be subject to cancellation.

Vessel subject to survey must be insured for all ‘All Risks’ for the duration of any vessel attendance or movement. Such policy must allow for sole operation of the vessel by Schofield International Ltd personnel. Copies of insurance documents must be provided to the surveyor prior to the date of attendance. Failure to do so may result in the survey postponement or cancellation 

Charges

Our charges will be on a fixed fee; and expenses as incurred and supported, basis. All fixed fee charges will be agreed in the contract of service document and a prediction of expenses given.

Travel expenses are estimated and subject to adjustment in line with actual costs incurred. All estimates and quotes are valid at the time of the contract agreement only and may be subject to change based upon the situation on service delivery. Any expected change in cost will be communicated as soon as any variant is known or expected.

Road mileage, from office location (Jachthaven 2, Eeklo, 9900, Belgium) to the survey site, will be charged at €0.60/mile. Rail and airfares will be booked directly with carriers on an ‘economy class’ basis (unless otherwise agreed). 

The fixed fee and actual expenses incurred and supported will be due within thirty [30] days of submitting the site visit report and invoice.

The payment of the 100% fees and expenses will be due to Schofield International Ltd, in the currency invoiced, via the payment methods provided.

Personnel Involved

The contract of service will appoint the assigned surveyor. This surveyor will make contact with the client as soon as possible after instruction and liaise to the service agreed. All surveyors are fully supported by the entire Schofield International team and the entire organisation is committed to the satisfactory completion of the service agreed. 

Work will be undertaken by the surveyor agreed and your agreement will be sought in advance where any changes of appointees are required.

Jurisdiction

All contracts and the services supplied to any party, whether directly or indirectly, by Schofield International Ltd or its directors, employees or subcontractors shall be subject to jurisdiction of English law only.
